Data Handling Policy

How we process, store, and delete your documents.

What We Do

Verity Docket provides AI-assisted document analysis support for law firms. We receive case files from attorneys, process them into structured deliverables (chronologies, fact summaries, contradiction flags, and draft issue lists), and return source-cited work product for attorney review.

Who Is the Client

The law firm is always the client. We do not accept work from or communicate with the law firm’s end clients. All deliverables are prepared for the attorney’s use and judgment.

How We Process Documents

Default: Local Processing.

All document parsing, extraction, analysis, and assembly occur on hardware owned and operated by the Verity Docket founder. No client data leaves the local environment for processing purposes unless the client expressly authorizes a cloud exception for a specific matter.

Optional: Client-Authorized Cloud Exception.

If authorized by the client in writing for a specific matter, Verity Docket may use cloud AI services that meet its internal provider selection criteria. Providers are selected based on:

  • Commercial API or enterprise-tier access (not free-tier or consumer tools)
  • Published terms committing that customer data will not be used for model training
  • Published terms committing to data deletion after processing

Verity Docket selects providers based on their published terms and contractual commitments and does not claim to verify any provider’s internal practices beyond those published terms.

What “local” means:

Processing on devices owned by Verity Docket. Files stored in encrypted local folders. No transmission to external servers for processing purposes.

What We Will Never Do

  • Use client data to train, fine-tune, or improve any AI model.
  • Process client data on free-tier, consumer, or unvetted AI services.
  • Share client data with any party other than the originating law firm.
  • Change the compute mode for a matter without the client’s written consent.
  • Use cloud processing for any matter without matter-specific written authorization.
  • Retain data beyond the agreed retention window without the client’s instruction.
  • Accept matters from opposing sides of the same dispute.

File Storage and Encryption

  • Client files are stored in encrypted local folders organized by matter.
  • Files are accessible only to the Verity Docket founder.
  • Files are not stored on employer devices, employer accounts, or employer cloud storage.

Retention and Deletion

  • Default retention: All matter files are deleted from active local storage within 21 days after final delivery.
  • Custom retention: Clients may request a shorter or longer retention window at intake or at any time during the engagement.
  • Early deletion: Clients may request immediate deletion at any time.
  • Deletion scope: Files are deleted from active local storage. Verity Docket excludes matter folders from automated cloud backup and sync services to prevent unintended retention.

Accepted File Formats

PDF, DOCX, TXT, EML, MSG, JPG, PNG, TIFF, ZIP.

Not accepted at launch: PST archives, audio/video files, native databases, unstructured bulk productions without indexing.

Deliverable Format

All deliverables are provided as Word (.docx) and PDF files. Optional CSV chronology export is available for larger matters.

All analysis sections are labeled: “Draft observations for attorney review.”

Quality and Citation

  • Every material fact in a deliverable includes a source citation pointing to the originating document and location.
  • All deliverables are human-reviewed before delivery.
  • One revision is included per engagement. New documents or new questions constitute a new scope.

Conflict Policy

Verity Docket maintains a conflict log. We will not accept work on behalf of opposing parties in the same matter. If a potential conflict is identified, we will notify the affected firm(s) and decline or withdraw from the conflicting engagement.

Incident Notification

If Verity Docket discovers or suspects that client data was processed outside the authorized compute mode or was subject to unauthorized access:

  1. Processing on the affected matter is halted immediately.
  2. The client is notified within 24 hours.
  3. A written incident summary is provided within 72 hours.
  4. The client may terminate the engagement for that matter without further payment obligation.

Limitations and Honest Disclosures

  • Verity Docket uses AI tools as part of its workflow. AI-generated outputs can contain errors, omissions, or misinterpretations. That is why every deliverable is human-reviewed and source-cited, and why the attorney remains the final decision-maker.
  • When cloud services are authorized, Verity Docket selects providers based on their published terms and contractual commitments and does not claim to verify any provider’s internal practices beyond those published terms.
  • Verity Docket is not a law firm and does not provide legal advice. Deliverables are support materials for attorney use.
  • Verity Docket is an independent business operated by a solo founder. It is not affiliated with, endorsed by, or resourced by any employer or other entity.

Policy Updates

Changes to this policy will be communicated to active clients before taking effect. Changes do not apply retroactively to matters in progress under a prior version.
